Viro Climate Action Inc. ("Viro," "we," "our," or "us") is committed to protecting your privacy. This Privacy Policy describes how we collect, use, and safeguard information through the use of the Viro for Microsoft Teams application ("the Application"). 

 

Viro is available through Microsoft AppSource and meets Microsoft's stringent data, safety, and privacy standards. This ensures that the Application adheres to Microsoft’s compliance frameworks, providing additional assurance of security and reliability for Organizations using the Application.

This Privacy Policy describes how we collect, use, and safeguard information through the use of the Viro for Microsoft Teams application ("the Application"). By using the Application, you agree to the practices described in this Privacy Policy.

1. Scope of This Privacy Policy
 

This Privacy Policy applies to the use of the Application by authorized employees ("Users") of organizations ("Organizations") that have entered into an agreement with Viro. It explains how data is handled and provides transparency on data collection, use, and deletion processes.

2. Data We Do Not Collect


Viro does not collect, access, or process any data entered by Users within the Application. All data, including user submissions and logs, remains within the Organization's Microsoft Dataverse environment.

We explicitly do not:

  • Collect geolocation or demographic data.

  • Retain or process metadata, analytics, or usage data.

  • Access or share data across Organizations.

3. Data Collected Indirectly


While Viro does not access user-generated data, we may process limited technical information to support the Application, such as:

  • Support Requests: If an Organization contacts us for technical support, we may temporarily access certain application logs or metadata to diagnose and resolve issues. This access is granted by the Organization’s IT administrator and is strictly limited to the support period.

  • Aggregate Metrics: While Viro does not collect or process individual user data, we may compile anonymized and aggregated engagement metrics upon the Organization's request. These metrics may include summary data such as the total number of logged actions, estimated carbon pollution reductions, and participation rates across the Organization. These summaries are generated solely for the Organization’s use and may be used for public relations, annual reporting, or other communications purposes.


4. How Data is Stored and Segmented


All user data remains securely within the Organization’s Microsoft Dataverse environment. Viro guarantees that data from one Organization is completely isolated and inaccessible to other Organizations. Viro does not store or maintain copies of any user data.


5. How We Use Data


Since Viro does not access user data, we do not use it for:

  • Marketing purposes.

  • Sharing with third parties.

  • Profiling or analytics.


The limited technical data mentioned above is used solely for:

  • Improving the functionality and performance of the Application.

  • Resolving technical issues reported by Organizations.


6. Data Sharing


Viro does not share user data with third parties. Any data processing required for technical support is conducted within the bounds of the Organization’s permissions and is terminated after the issue is resolved.

7. Data Deletion


The Organization is fully responsible for managing and deleting data stored in its Microsoft Dataverse environment. Viro provides support upon request to assist with data deletion processes but does not have the ability to delete or access data without explicit permissions.

8. Compliance with Privacy Laws


Viro is committed to compliance with applicable privacy laws, including but not limited to:

  • General Data Protection Regulation (GDPR): Users in the European Union are afforded rights under GDPR, including the right to data access, correction, and deletion.

  • California Consumer Privacy Act (CCPA): California residents may request information about the handling of their data, though Viro does not collect personal data directly.

9. Data Security


Viro employs industry-standard security measures to protect any technical information it processes during support activities. These measures include encryption, secure access controls, and data isolation practices.

10. Changes to This Privacy Policy


We may update this Privacy Policy from time to time to reflect changes in legal, technical, or operational requirements. Material changes will be communicated to Organizations via email at least 30 days prior to the effective date.
